Legal Assistant (Full-Time)

Position Overview:
The Nicholas Family of Companies is seeking a highly organized, discreet, and proactive Legal Assistant to support our Corporate Counsel. This role is central to ensuring smooth day-to-day operations, professional communications, and timely administrative and legal support. The ideal candidate is detail-oriented, responsive, capable of handling confidential information, and skilled at prioritizing tasks in a fast-paced environment.
Required Qualifications:
3+ years of experience as an Executive Assistant, Administrative Assistant, or similar role supporting senior leadership (executive-level support preferred)
Demonstrated ability to handle confidential information with discretion and sound judgment.
Strong written and verbal communication skills, including professional business correspondence.
Excellent organizational skills and attention to detail; proven ability to manage multiple priorities and meet deadlines.
Proficiency in Microsoft Word, Outlook, and PowerPoint; fluency in Excel.
Strong calendaring and scheduling skills.
Preferred Qualifications:
Experience supporting a legal department, Corporate Counsel, or senior management.
Familiarity with corporate governance documentation is a plus.
Familiarity with AIA contract templates is a plus.
Experience with document management systems, e-signature tools, and virtual meeting platforms.
Notary Public.
Primary Responsibilities:
Provide high-level administrative and clerical support to the Corporate Counsel, including day-to-day file coordination and seeing projects through to completion.
Oversee email management, including drafting and proofreading correspondences, organizing inboxes, flagging priorities, and ensuring timely responses as directed.
Prepare meeting materials and support meeting logistics (agendas, presentations, attendee coordination, room/virtual setup, minutes/notes, and follow-ups).
Draft, format, and edit professional correspondence, reports, and memos, with a high degree of accuracy and attention to detail.
Assist with legal corporate filings and related administrative tasks, including preparing documents for submission, tracking deadlines, maintaining logs, and organizing supporting documentation.
Maintain organized electronic and physical filing systems, including confidential and sensitive legal, corporate, and executive materials.
Coordinate document workflows, including version control, obtaining signatures, distributing finalized documents, and confirming receipt when needed.
Serve as a professional point of contact for internal teams, external partners, vendors, and counsel—ensuring timely, courteous communication.
